I sent to more people than I expected

3 min read

You wanted a slice of your list and almost all of it went out. There are three causes, in the order they show up.

1. You ticked several tags thinking you were narrowing down

Tags work on OR. Anyone who has at least one of the ticked tags gets the email. Every extra tag you tick widens the group.

The typical case: you tick the tag of a large archive and, next to it, two cohorts that are already inside that archive. The result is the whole archive.

What to do instead: if you want only the cohort, tick only the cohort tag. For a real intersection or an exclusion you need a saved segment, because the tag screen cannot exclude anyone.

2. A segment rule was left with no tags ticked

In the segment builder, if you pick an operator but tick no tag, the rule is dropped on save. The segment saves with no error message and shows more people than it should.

A segment meant as the archive minus those who already received it, with an empty exclusion rule, silently becomes the whole archive.

What to do instead: before saving, read the counter under the rules and compare it with the number you expect. An exclusion rule that does not change the counter at all did not apply.

3. You used a segment template after an import

The templates New subscribers and Older subscribers rely on the date someone joined the list. After an import, that date is the same for the whole list, the day of the import. So last 30 days returns your entire list, and over 6 months returns zero.

What to do instead: on an imported list, target by tags or by behaviour, not by subscription date.

A segment is live, not a frozen list

The rules are recalculated at send time, not when you schedule the campaign. Anyone who unsubscribes in between drops out on their own, and anyone who gets the tag in between comes in. If you schedule three days ahead, the number at send time can differ from the one you saw when scheduling.

What to do now

Open the campaign under Campanii and look at the real recipient count in the report. Then open the segment or the tags you sent with and rebuild that number using the rules above. That tells you which of the three causes it was, so you can fix it before the next send.

If the same person received two emails, check whether the second campaign was a resend: anyone who already received a campaign in an earlier attempt is automatically removed from the next attempt.
