The brand profile: where the voice is set
The brand profile lives in Reglaje asistent and is where you tell the assistant how to sound. It has five sections, each with its own job.
The five sections
- Identity: who the brand is, what it does, for whom, what it stands for. It starts from here when it has no other context
- Voice: how it sounds. The most useful field is the banned vocabulary, written with its replacement
- Copy rules: lengths, the person you write in, what a good subject line looks like
- Design notes: visual decisions that repeat
- Products and services: what you sell, in a few lines, with the correct web addresses
Prices and offers do not belong here. They go into Knowledge, because there they can carry an expiry date.
Write banned words with their replacement
In the Voice section, the form that works best is the pair banned word plus replacement: we do not write cheap, we write affordable. A word crossed out without an alternative leaves a gap the assistant fills however it can.
What your text here can and cannot change
Your instructions reach the assistant whole, word for word, without being trimmed. They can change tone, structure, length, vocabulary.
They cannot change the platform rules: that it invents nothing, sends nothing on its own, and asks for approval. Those sit above everything you write.
Keep the block short, and clean it out now and then
Every new rule dilutes the one before it. The rules written last and most emphatically are respected; the older ones, which worked, start to slip. The limit you hit is one of attention, not of characters.
In a five-round test, adding three new rules fixed exactly what was asked and broke five things that worked: the length jumped from 169 to 313 words, the person changed from I to we, and two products disappeared from the text.
So do not fix an email by adding rules until it comes out clean. It will not. Keep the rules that proved necessary on real text and delete the ones that merely seemed like a good idea at the time. After five rounds of testing, out of all the rules written, only three had actually changed the result.
