Verifying your domain: how long to wait and what to do if it fails

3 min read

Once you have saved all the records at your hosting provider, ClevMail has to find them on its own. The check does exactly that: it goes and looks.

You can leave the page

After you press „Pornește verificarea domeniului”, the „De unde trimiți” card shows „Aștept propagarea DNS” (waiting for DNS propagation) and checks on its own every 15 seconds while the page is open. You do not have to watch it: once you close the page, the platform re-checks the domain every hour, and the state changes without you. While it runs, you can do the rest: subscribers, brand, the first draft.

When you come back, start from Home. The „Primii pași” list keeps the step „Conectează-ți domeniul” unticked, with the „Verifică domeniul” button, which takes you back to the card. The step ticks itself once the check passes.

Wait before you press it

Saved records appear instantly in your own panel, but the rest of the internet picks them up with a delay. The short ones appear first, and the long signature, the one starting with resend._domainkey, is the slowest.

Pressed too early, the check does not pass, even though you did nothing wrong. Let a few minutes go by, then press „Verifică acum”. If it still does not pass, wait another quarter of an hour before you go hunting for the culprit.

The screen cannot tell delay from a mistake

As long as the check has not passed, the card stays on „Aștept propagarea DNS”, whether the records still need time or one of them is wrong. Red appears only after 72 hours without a result. So do not wait for red: if half an hour has gone by and it still does not pass, go through the list below.

If it still does not pass, check in this order

  1. Did you add all of them? The screen shows only the first two records by default, the rest appear behind the „Arată toate cele N înregistrări” button. Check this first, because it is also the most common cause
  2. The type of each record. The records have different types: TXT, MX, CNAME. A record saved with the wrong type exists in the zone, but does not match what the check is looking for
  3. The priority on the MX record. It has two fields, and the priority one must contain 10. Left empty, the record can be saved and still ignored
  4. The names. They must end with your domain and a dot, for example send.news.yourdomain.com. If the panel adds your domain automatically and you typed it in as well, you end up with the domain twice
  5. The long signature, copied again. Do not compare it visually, it is too long and the mistake hides in it. Delete the record, copy the code again with the button in ClevMail, and save it once more

When red appears

After 72 hours without a result, the label becomes „Înregistrările nu se potrivesc încă” (the records do not match yet), and the card shows the three causes we see most often: the Name field filled with the full name instead of just the front part, DNS kept somewhere other than the company you bought the domain from (Cloudflare, for example), or records added recently that still need time. You also get an email, “The sending domain for your company failed verification”, once a day for as long as it stays that way. Fix it at your hosting provider, then press „Verifică acum”, which asks for a fresh check. The emails stop once it passes.

If you see „Nu am putut verifica acum” (could not check right now) with the time of the last known state, the problem is on our side, not in your DNS. The card retries on its own.

What not to do

Do not delete or edit records that were on the domain before. Hosting providers usually add their own key, starting with v=DKIM1. Deleted by mistake, it breaks your ordinary business email, which has nothing to do with ClevMail.

Do not add the same record several times hoping it will catch. The zone ends up with duplicates that contradict each other, and the check becomes harder to fix than it was at the start.

Once it passes

The card folds into one line: the domain is verified, emails go out from you. The sender address stays the one you typed at the start, and under it the field now says the domain is verified. The step in „Primii pași” gets ticked. From here on you can send from your own address. Before your first large campaign, read the article about warming up a new domain: a domain that has never sent anything and starts with thousands of emails is treated with suspicion by email providers.
